Recurrence Options Dialog

(Menu Bar > Edit > Other Task Attributes > Edit Task Recurrence).

Note: Each radio-button on the left brings up a different set of options:

Task Occurs Once

This is the default and there are no options - when the task is complete there is no recurrence.


Task Occurs Daily

  • Set “Every n day(s) to set a reminder to do this task on the Due Date, and then every day (other day, third day, etc) from that date.
  • Set “Every n weekdays(s)” which is the same as above but factors in the weekend (according to your Preference settings). So a task for every 2 weekdays will trigger a recurrence for Friday and the next Tuesday, where every 2 days will go from Friday to Sunday and then to Tuesday.
  • Set “Every weekday” for each of your weekdays as set in Preferences. This is the same as “every 1 weekday”.
  • Set “Calculate next occurrence” from the Start Date, Completion Date, or Due Date. So for example, you get a reminder to start on Monday. The next reminder will come next Monday if you use the Start date. If you start on Monday and finish on Wednesday, and this is set to Completion date, then you'll get a reminder the following Wednesday.
  • Set “When I complete this task” to Reuse the existing task if that makes sense for your purposes, or to Create a new task if you want to track each event separately. You can also set this to “Ask me what to do” to get the option on each recurrence.

Task Occurs Weekly

  • Set “Every n week(s) to set a reminder to do this task on the Due Date, and then every week (other week, third week, etc) from that date.
  • Set “Every n week(s) on” to ensure the task occurs on the same day or days. So for example, every 2 weeks on Monday and Friday.
  • See below for options which are found at the bottom of all of these options pages.

Task Occurs Monthly

  • Set “Every n month(s) to set a reminder to do this task on the Due Date, and then every month (other month, third month, etc) from that date. This is good for a quarterly operation that doesn't depend on a specific day.
  • Set “Day d of every m month(s)” to ensure the task occurs on the same date of each month (other month, 6th month, etc). So for example, this task needs to be done on the 15th of the month, every 3 months.
  • Set “The Nth Day of every m month(s)” to ensure the task occurs on the same day of each month (other month, 4th month, etc). So for example, this task needs to be done on the second Tuesday of every other (2) month. This could be for newsletters, or maybe group meetings that don't require a meeting every month. Some people find it easier to meet on consistent days rather than some date of the month which falls on different days.

Task Occurs Yearly

  • Set “Every n year(s)” to set a reminder to do this task on the Due Date, and then every year (other year, third year, etc) from that date. This is good for things like renewing licenses or warranties, or doing some kind of building maintenance every few years, or even birthdays, holidays, and anniversaries.
  • Set “Every Month Date” … just like a typical calendar entry.
  • Set “The Nth Day of Month” for events which occur on a specific day rather than a specific date. For example, in the USA, the Thanksgiving holiday is celebrated on the Fourth Thursday of November, and Mother's Day is held on the second Sunday of May in many countries such as Australia and Canada.

The following settings are common to all the above options:

  • Set “End after n occurrences” to stop reminders after the task is done some number of times. You might make a commitment to do something every Monday, just for the next month. Or every day just for 2 weeks.
  • Set “Calculate next occurrence” from the Start Date, Completion Date, or Due Date. So for example, you get a reminder to start on Monday. The next reminder will come next Monday if you use the Start date. If you start on Monday and finish on Wednesday, and this is set to Completion date, then you'll get a reminder the following Wednesday.
  • Set “When I complete this task” to Reuse the existing task if that makes sense for your purposes, or to Create a new task if you want to track each event separately. You can also set this to “Ask me what to do” to get the option on each recurrence. With that option set, when you complete a recurring task, you see the following dialog:
